    Summary

Segment contacts by using Smart Lists. Apply filters based on tags, custom fields, or activity, and save the filtered view as a Smart List for quick access and targeted follow-up.

    Who this article is for

Marketers and sales teams looking to organize their outreach.

    Overview

Segmentation allows you to group contacts based on shared characteristics or behaviors. This is crucial for sending highly targeted marketing campaigns or prioritizing sales follow-ups, rather than blasting your entire database with irrelevant messages.

    Before you begin

    • Ensure your contacts have been properly tagged or have accurate custom field data.

Step 1: Step 1: Open Contacts

Navigate to the main Contacts dashboard.

Step 2: Step 2: Apply Filters

Click the 'More Filters' button. Select the criteria you want to segment by. For example, filter by 'Tag is Newsletter Subscriber' AND 'State is California'.

Step 3: Step 3: Review the List

Click Apply. The contact list will update to show only the records that match your specific criteria.

Step 4: Step 4: Save as Smart List

At the bottom of the filter panel, click 'Save as Smart List'. Give the list a descriptive name (e.g., 'CA Subscribers').

Step 5: Step 5: Accessing Segments

Your new Smart List will appear as a tab at the top of the Contacts dashboard. Clicking this tab will dynamically show all contacts that currently meet the criteria.

    Configuration note

Smart Lists are dynamic. If a contact's data changes and they no longer meet the filter criteria, they will automatically be removed from the list. Review contact data carefully before bulk actions based on segmentation.

    Important clarification

Creating overly complex filters: Adding too many 'AND' conditions might result in an empty list. Start broad and narrow down as needed.

    Resolution guidance

Why isn't a contact showing up in my Smart List?

Verify the contact's exact tags and custom fields. Even a slight misspelling or a missing tag will exclude them from the filtered view.
