    Summary

    Overview

    User access, team permissions, and seat availability may vary depending on your selected plan and account configuration. Properly setting up your team members—including their permissions, roles, and availability—is essential for smooth collaboration and security, where available in your account.

    Before you begin

    • Compile a list of names and email addresses for the staff you want to invite.
    • Determine which staff members need 'Admin' access versus standard 'User' access.
    • Decide which specific features (e.g., Billing, Contacts, Workflows) each user should be allowed to access.

    Step 1: Navigate to My Staff

    From your main dashboard, click on 'Settings' in the bottom left corner, then select 'My Staff' from the left-hand menu. This page displays a list of all current users in your workspace.

    Step 2: Add a New Employee

    Click the 'Add Employee' button in the top right corner. A configuration panel will open. In the 'User Info' tab, enter the team member's First Name, Last Name, Email Address, and Phone Number. You can also upload a profile picture for them.

    Step 3: Configure User Permissions

    Switch to the 'User Permissions' tab. Here, you will see a list of toggles for every major feature in GEVADE CRM (e.g., Campaigns, Triggers, Contacts, Billing). Toggle these on or off based on what the user needs to do their job (settings may vary by feature access). For example, you might disable 'Billing' for a standard sales rep.

    Step 4: Assign the User Role

    Switch to the 'User Roles' tab. Select whether this person should be a 'User' or an 'Admin'. Admins have full control over the workspace, including the ability to add/remove other users and change billing details. Standard Users are restricted by the permissions you set in the previous step.

    Step 5: Set Availability (Optional)

    If this team member will be taking appointments, switch to the 'User Availability' tab. Set their working hours and connect their personal Google or Outlook calendar to prevent double-booking.

    Step 6: Save and Send Invitation

    Click 'Save' at the bottom of the panel. The system will create the user profile and immediately send an invitation email to the address provided, containing a secure link to set their password and log in.

    Configuration note

    When you grant someone 'Admin' access, they have the ability to export your entire contact database, modify billing settings, and delete workflows. Only grant Admin access to trusted leadership or management personnel.

    Important clarification

    Forgetting to customize user permissions is a common oversight. By default, new users might have access to sensitive areas like billing or bulk exporting. Always review the 'User Permissions' tab carefully before saving a new employee profile.

    Resolution guidance

    My team member didn't receive the invitation email

    Ask them to check their spam or junk folders. If it is still missing, you can resend the invitation by going to Settings > My Staff, clicking the edit icon next to their name, and looking for the 'Resend Invitation' option.

    The invitation link expired

    For security reasons, invitation links expire after a set period (usually 24 hours). You will need to resend the invitation from the My Staff settings page.
