Overview
Security and financial control are paramount. GEVADE CRM uses role-based access control to ensure that only authorized personnel can make changes that affect your subscription or incur costs. Because you can invite many employees into your workspace, it is crucial to understand how to restrict their access so they cannot accidentally view your corporate credit card details, download invoices, or activate expensive add-ons.
Before you begin
- Audit your team members in Settings > My Staff.
- Ensure only trusted personnel have the 'Admin' role.
- Verify that the Account Owner email is correct and secure.
Step 1: Understanding Roles
There are two primary roles: Admin and User. Admins have global access to the workspace, including the Settings > Billing tab. Users are restricted to operational tasks like managing contacts or appointments and cannot see the Billing section.
Step 2: Granting Billing Access
To allow a team member (like a CFO or accountant) to view invoices, navigate to Settings > My Staff (contact support if this option is not visible). Edit their profile, go to the User Roles tab, and elevate them to 'Admin'. Ensure you trust this person, as Admins have full system control. Review permissions carefully before granting access.
Step 3: Restricting Access
If a user should not see financial data, ensure their role is set to 'User'. You can further refine their access in the 'User Permissions' tab by disabling features they don't need, such as the ability to export contacts or delete records. Review permissions carefully before granting access.
Step 4: Account Ownership
While there can be multiple Admins, there is only one Account Owner. The Owner is the primary point of contact for legal and high-level billing disputes, and only the Owner can transfer ownership to another user.
Configuration note
Never share your login credentials with your accountant. Always create a dedicated Admin seat for them using their own email address.

Making every sales rep an Admin for convenience. This exposes your billing details and allows anyone to activate expensive add-ons or export your entire database.

Your user role is likely set to 'User'. You must ask the Account Owner or an existing Admin to elevate your permissions to access the billing portal.
